Manage Customers
Use Customers to look up customer profiles, order history, store credit, and contact details.
Before you start
- Use customer records only for legitimate store operations.
- Confirm you are editing the correct customer before changing store credit or profile details.
What success looks like
- Search returns matching customer records.
- Customer profile shows relevant history and balances.
- Saved edits are reflected the next time the profile opens.

- 2Search by name, email, phone, or other available fields.

Create or update a customerOne accurate customer record keeps purchases, buylists, and store credit together.
- 1Search by name, email, and phone before creating a new record.
- 2Choose Add Customer only when no matching customer exists.
- 3Enter the customer’s name and the contact details they have agreed to provide.
- 4Save, then open the record to confirm the details.
Adjust store creditManual changes require a reason so the customer balance can be explained later.
- 1Open the customer and choose Update Store Credit.
- 2Choose whether to add or remove credit and enter the amount.
- 3Enter a specific reason, such as event prize correction or approved account adjustment.
- 4Save and verify the new balance and history entry.

- 2Filter to purchases, credit gained, or credit used.
- 3Open the related transaction when the customer is asking about a specific sale.
- 4Do not make an offsetting manual adjustment until you understand the original entry.
Import a customer listCustomer import creates new records and skips customers that already exist.
- 1Choose Import CSV and download the template if your file does not already match it.
- 2Include a first name and last name, plus email or phone for each customer. Add address or starting store credit only when the store has verified it.
- 3Upload the completed Customer CSV and start the import.
- 4Review the created, skipped-existing, address, and store-credit totals, then search for a sample of imported customers.

Actions on the Customers page
- Use Add Customer to create a profile with first name, last name, email, phone, and notes.
- Use search to find customers by name, email, or phone.
- Use row expansion or the customer history modal to review orders, buylist activity, and store credit activity.
- Use Edit to correct contact information or notes.
- Use Update Store Credit only with an amount and a clear reason that explains the adjustment.
- Use Import CSV to download the template, upload customer records, and review the created and skipped totals after processing.
- Use Export CSV when you need a customer list for authorized store operations.
- Use deactivate/reactivate instead of deleting customer context when you need to control account access but keep history.
Troubleshooting
Choose the symptom that matches what you see.
Duplicate customer records exist
Use the most complete and recent profile for current work. Contact support before merging or cleaning records if no merge tool is available.
Store credit does not match expectations
Review customer history, buylist completion, refunds, and manual adjustments before changing the balance.
