Manage Warehouses

Use Warehouses to represent store locations, stock rooms, event inventory, or other inventory pools.

Before you start

  • Decide how your store should separate physical inventory.
  • Use names staff will recognize during POS login and inventory work.

What success looks like

  • Warehouses appear in inventory and POS location selection.
  • Inventory quantities remain separated by warehouse.
  • Warehouse sales-channel settings control where its inventory can be offered.

Common tasks

Open only the task you need.

Create a selling locationA warehouse can represent a store, stock room, event kit, or another separate inventory pool.
  1. 1Select Add Location and enter a name and short code staff will recognize.
  2. 2Add the physical address and phone when the location is used for pickup or shipping.
  3. 3Save the location, reopen it, and use Sales Channels to enable the places that may sell its inventory.
  4. 4Confirm the location appears in the warehouse list with the expected POS, online, and marketplace channel badges.
Control where warehouse inventory can sellWarehouse assignments drive POS, storefront, and marketplace availability.
  1. 1Open the warehouse and select Sales Channels.
  2. 2Enable POS or online sales only where staff and fulfillment can actually use the stock.
  3. 3Assign connected marketplaces that should automatically list eligible singles from this warehouse.
  4. 4Save, then review Marketplace Activity for the resulting sync rather than managing individual listings in marketplace settings.
Retire a warehouse without losing stockMove inventory and channel ownership before deleting an unused location.
  1. 1Download the warehouse CSV as a reference.
  2. 2Open the warehouse and choose Move Inventory.
  3. 3Choose an existing destination or create the replacement location, then review the move summary.
  4. 4Confirm inventory appears at the destination and update its sales-channel assignments.
  5. 5Delete the old warehouse only after it has no inventory or active channel responsibility.

How warehouses affect POS
  • POS asks staff which warehouse they are selling from.
  • Only inventory available in that warehouse should be used for checkout.
  • Wrong warehouse selection can make available items appear missing.
How warehouses affect online sales
  • Online availability can depend on which warehouses are eligible for storefront sales.
  • A product may be in stock internally but unavailable online if the holding warehouse is not online-eligible.
Actions on the Warehouses page
  • Use Add Location to create a store location, stock room, event inventory pool, or other inventory source.
  • Use the Details tab to edit name, code, description, address, city, state, ZIP, and phone.
  • Use the Sales Channels tab to control whether the warehouse can be used for POS, online sales, or marketplace/channel workflows.
  • Use Download CSV to export a warehouse inventory file before major cleanup or transfers.
  • Use Move Inventory to transfer all inventory from one warehouse to another, or create a replacement warehouse during that move flow.
  • Use Delete only after confirming what happens to the warehouse inventory and channel assignments.

Inventory exists but POS cannot find it

Confirm POS is using the same warehouse where the inventory quantity exists.

Online products are missing

Check whether the warehouse holding the inventory is allowed to sell online.
