Orders

Refund an order

Issue a full or partial refund from the original order, using a dollar amount or selected item quantities.

Before you start

  • Dashboard → Sales → Orders
  • Your account needs permission to refund transactions. The order must have a refundable balance and an available refund action.

What success looks like

  • The order shows whether the refund is complete, pending, or awaiting manual action, along with the amount still available to refund.

Quick start

The shortest path through this area.

  1. 1Open the original order and click Refund.
  2. 2Check Maximum refundable. Leave Refund Amount blank to refund the full remaining balance, or enter an amount above zero and no greater than the maximum.
  3. 3To calculate the refund from items instead, use Refund By Item Quantity. Enter the quantities, click Max for a line, or choose Select all remaining. Check the total, including proportional tax.
  4. 4Use either a manual amount or item quantities. Clear your current selection before switching between the two.
  5. 5Add a Reason or Comment if needed. For eBay orders, select an eBay refund reason. If you are refunding eBay item quantities, review Return these quantities to their original warehouse.
  6. 6Check the amount on the confirmation button, then submit the refund once.
  7. 7Read the result and check the updated order. Some refunds need an additional action in the payment provider’s dashboard. An eBay refund may remain pending until eBay confirms it.

How this area works

Reference information for the choices on this page.

Important details
  • For an eBay refund, inventory returns to its original warehouse only for the selected quantities when the return option is checked and eBay confirms the refund.
  • A refund entered only as a dollar amount does not specify which item quantities should be returned to stock.
  • Changing an order’s sale status does not process a refund.

Troubleshooting

Choose the symptom that matches what you see.

How do I refund a sale paid with store credit?

Open dashboard Orders, find the original sale, and click Refund. Check Maximum refundable. Leave Refund Amount blank for the full remaining balance, or enter a smaller amount. Review the amount and submit once, then read the result. A completed refund returns the store-credit portion to the customer’s credit balance; a split payment follows the original payment methods. Check the order and customer history. Do not use Void for a transaction with store credit activity. For a trade-in payout, contact your manager or MintLGS support.

The refund requires manual action

Read the processor message and complete the outstanding action in that provider’s dashboard. Check the original refund before submitting anything again.

The eBay refund is still pending

eBay has received the request but has not confirmed completion. Check the order again after the provider responds.

The refund failed to submit

Keep the error message, correct the stated problem, and check the order’s existing refunds before retrying.
