Accounting
Manage your chart of accounts
Add an account to the chart, edit its details, or make it inactive. Deleting an account with journal history makes it inactive and keeps that history.
Before you start
- Accounting → Chart of Accounts
- You need accounting view permission to open this section. Creating or changing accounts, entries, and recurring templates requires the appropriate accounting permissions.
What success looks like
- The chart displays the saved account details and whether the account is active.
Quick start
Choose the task you need. Each task has its own steps.
Add an account
- 1Open Accounting → Chart of Accounts and click Add Account.
- 2Enter Code, Type, Name, and Normal Balance. Add a Subtype or Description if needed.
- 3Click Create Account and find the saved account in its type group.
Edit or change account availability
- 1Open Chart of Accounts and find the account. Select Show inactive accounts if needed, then click Edit.
- 2Update the available fields. Use Active to deactivate or reactivate the account. If you change its code, read the warning about updating historical journal entries.
- 3Click Save Changes and check the saved details and status.
Delete an account
- 1Open Chart of Accounts, find the account and click Delete if available. System accounts do not show this action.
- 2Read the confirmation. Click Cancel to keep the account, or Delete to confirm.
- 3An unused account is removed. If it has journal history, it becomes inactive instead. Select Show inactive accounts to find it; its journal history remains.
How this area works
Reference information for the choices on this page.
Fields and options
- Code: Identifies the account when you select it for a journal line.
- Type: Places the account in Asset, Liability, Equity, Revenue, or Expense.
- Normal Balance: Sets the account to Debit or Credit. The opening-balance form also uses this setting.
Troubleshooting
Choose the symptom that matches what you see.
I cannot delete or change an account
System accounts do not show Delete. Use the available edit and Active controls. Deleting an account with journal history makes it inactive instead of removing its history.
An account is missing from a dropdown
Check whether it is active. Also check that its account type is allowed by the form you are completing.
