Purchasing

Mark a purchase order ordered and record confirmed quantities

Print a supplier copy, record that the order was sent, and enter the quantities the distributor confirmed.

Before you start

  • Purchasing → Purchase orders → select an order
  • Your account needs permission to submit purchasing orders to mark one ordered. Editing confirmations or order lines requires permission to edit purchasing.

What success looks like

  • The order changes from Draft to Ordered. Requested, distributor-confirmed, and received quantities remain separate so you can compare them.

Quick start

The shortest path through this area.

  1. 1Open the purchase order and check its supplier, destination, and items.
  2. 2Click Print supplier copy to open a document you can print or save.
  3. 3After sending this version to the distributor, click Mark ordered. Read Mark this order as sent? and confirm with Mark ordered.
  4. 4Open Deliveries. If Edit confirmations is available under Distributor confirmation, click it and enter the Distributor confirmed quantity for each line.

How this area works

Reference information for the choices on this page.

Important details
  • Mark ordered records that you sent the order. It does not email the distributor or place the order for you.
  • Confirmed quantities and received quantities are separate records.

Troubleshooting

Choose the symptom that matches what you see.

Mark ordered is missing

Check the order’s current status and purchasing submit permission.

The confirmed amount differs from the request

The Difference column preserves that distinction. Use expected shipments and receiving to record what actually arrives.
