Purchasing
Receive a full or partial distributor delivery
Receive all or part of a purchase order. Record delivered, damaged or rejected quantities and add accepted stock to the receiving location.
Before you start
- Purchasing → Receive deliveries → Waiting to arrive; or purchase order → Receive shipment
- Your account needs permission to receive purchasing deliveries.
What success looks like
- The receipt records the delivery’s accepted, damaged, and rejected quantities. Accepted stock is added to the purchase order’s destination.
Quick start
The shortest path through this area.
- 1Open Receive deliveries → Waiting to arrive, find the order by PO number, supplier, or reference, and click Receive. If you already have the purchase order open, click Receive shipment instead.
- 2Select the Expected shipment, or choose Not previously tracked. Selecting a shipment limits the form to the items expected in that delivery.
- 3Enter the Packing slip / shipment ref, Received date, and any Receiving notes.
- 4Use Rearrange items if you want the rows to match the packing slip. Reset to PO order restores the original sequence; click Done arranging when finished.
- 5Enter Accept, Damaged, and Reject quantities for each line. Receive all outstanding or Receive manifest remaining fills the remaining accepted quantities for the order or shipment. Check those values before posting.
- 6If the delivery contains extra units, choose how to handle each overage: Accept, bill expected; Accept free; or Reject overage.
- 7Click Post receipt and wait for confirmation. Check the receipt, the order’s received quantities, and the stock at the destination.
- 8To leave without posting an unfinished receipt, click Exit receiving.
How this area works
Reference information for the choices on this page.
Important details
- At least one accepted, damaged, or rejected unit is required to post.
- A partial receipt leaves the unreceived quantities outstanding. Recording an invoice does not receive those goods.
Troubleshooting
Choose the symptom that matches what you see.
Some items have not arrived yet
Enter quantities only for goods that arrived. Leave Accept, Damaged, and Reject at zero for goods still waiting to arrive. Post the partial receipt; the unreceived quantities remain outstanding and can be received in a later delivery. Do not use Receive all outstanding unless those goods actually arrived.
An overage is blocking the receipt
Choose how to handle the extra units on every row with an overage.
The form shows less than the full order quantity
Check the selected shipment and previous receipts. The form shows the quantities still outstanding for that order or shipment.
The request timed out
Check Receipts and the destination’s inventory before posting again, in case the first receipt was saved.
