Complete or delete a draft journal entry

A draft is not yet posted to the journal. Open it to fill in missing amounts and review its lines, then post it or delete it if it is no longer needed.

Before you start

  • Accounting → Journal Entries → Review Draft
  • You need accounting view permission to open this section. Creating or changing accounts, entries, and recurring templates requires the appropriate accounting permissions.

What success looks like

  • A completed draft becomes a posted journal entry. Deleting a draft removes only that unposted entry.

Quick start

Choose the task you need. Each task has its own steps.

Post a completed draft

  1. 1Open Accounting → Journal Entries, find the draft and click Review Draft or Review.
  2. 2In Review & Post Draft, check the accounts and enter the missing amounts and memos.
  3. 3Review the accounts, amounts and memos on the existing lines. Check that total debits equal total credits. This draft form does not add or remove lines.
  4. 4Click Post Entry once the entry is complete and balanced.
  5. 5Check that the entry is now posted in Journal Entries.

Delete an unposted draft

  1. 1To remove the draft instead, open Accounting → Journal Entries, open the unposted draft, click Delete Draft and confirm Delete this draft entry? Click Cancel to keep it for later. After deletion succeeds, check that the draft no longer appears.

Troubleshooting

Choose the symptom that matches what you see.

The form says Not balanced

Compare the debit and credit amounts on each line. Correct them until the two totals match.

A similar draft keeps appearing

Check its recurring template. Deleting a generated draft does not pause the template or stop future entries.
