Accounting
Manage recurring journal entries
Create a template to generate entries on a schedule. Use fixed amounts for repeat entries, or variable amounts when each generated entry needs to be completed before posting.
Before you start
- Accounting → Recurring
- You need accounting view permission to open this section. Creating or changing accounts, entries, and recurring templates requires the appropriate accounting permissions.
What success looks like
- The template appears with its saved schedule and status. Generated entries appear in Journal Entries; variable-amount entries wait there as drafts.
Quick start
Choose the task you need. Each task has its own steps.
Create a recurring template
- 1Open Accounting → Recurring and click New Template. Enter a Name and optional Description.
- 2Choose Monthly, Quarterly, Weekly, or Bi-weekly under Frequency. Set Day of Month or Day of Week as shown.
- 3Select Variable amounts if each generated entry should be a draft that you complete manually. Otherwise, enter fixed debit and credit amounts that balance.
- 4Choose the accounts and enter memos. Use + Add Line or a line’s remove button if needed. Keep at least two account lines.
- 5Click Create Template and check its Schedule, Type, Next Due, Last Run, and Status.
- 6Active templates generate entries when due. Fixed amounts are posted; variable amounts create drafts for you to complete and post in Journal Entries.
Edit a recurring template
- 1Open Accounting → Recurring, find the template and click Edit.
- 2Update the name, description, frequency, schedule, accounts or amounts. Fixed amounts must balance.
- 3Click Save Changes and check the saved template details.
Generate an entry now
- 1Open Accounting → Recurring and find the template. Check Journal Entries first so you do not request an extra entry by mistake.
- 2Click Generate Now and wait for the request to finish. Check Journal Entries for the result; variable-amount entries are drafts.
Pause or resume a template
- 1Open Accounting → Recurring and find the template. Click Pause to stop scheduled entries, or Resume to restart a paused template. Check Status and Next Due. Existing journal entries remain.
Delete a recurring template
- 1Open Accounting → Recurring, find the template and click Delete.
- 2Read the confirmation. Click Cancel to keep the template, or Delete to confirm.
- 3Check that the template is gone. Entries it already generated remain in Journal Entries.

Reference information for the choices on this page.
Important details
- Open Review Draft to complete and post an entry generated with variable amounts.
- The estimated monthly total does not include variable-amount templates.
Troubleshooting
Choose the symptom that matches what you see.
The generated entry is only a draft
Check whether the template uses Variable amounts. If so, open Review Draft, enter the amounts, and post the completed entry.
A scheduled entry has not appeared
Check whether the template is paused, then review Next Due, Last Run, and any error. Check the journal before using Generate Now to avoid creating an extra entry.
